VOYUMAR

Terms & Conditions

Beyond the Classroom. Into the World.

These Terms and Conditions govern every booking made with Voyumar, a family-run private educational group travel company operating tours across London, Europe and beyond. By submitting a booking, paying a deposit, or otherwise confirming a place on a Voyumar tour, the Group Leader, parent, guardian or client accepts these Terms on behalf of themselves and every traveller named on the booking.

1. Your booking and contract

A booking is confirmed, and a contract comes into existence between you and Voyumar, only once we have received your completed booking form and the required non-refundable deposit set out in Section 2. The Group Leader who submits the booking is responsible for ensuring that every traveller and, where applicable, their parent or guardian, has read and accepts these Terms.

All prices are quoted per person and are based on the itinerary, group size, and travel dates confirmed at the time of booking. Voyumar reserves the right to correct genuine pricing or administrative errors prior to departure. Where this results in a material price increase, you may cancel and receive a full refund of monies paid, less the service charge, provided you notify us in writing within 7 days of being informed.

2. Deposits, payments and service charge

A non-refundable service charge is included within your deposit and is applied to every booking to cover banking, payment-processing and administrative handling costs. The service charge is never refundable, under any circumstances, including cancellation by you, cancellation by Voyumar, or non-payment of a subsequent instalment.

Deposits are payable at the time of booking to secure your place and are treated as follows. Until the minimum traveller number required for the tour to run has been reached, the tour is not yet guaranteed to depart. If Voyumar is unable to confirm the tour for this reason, you will receive a full refund of your deposit, less the service charge. Once the minimum traveller number has been reached and the tour is confirmed as running, the deposit becomes subject to Voyumar's cancellation terms. Fifty percent of the deposit remains recoverable if you cancel in writing 90 days or more before departure. The remaining 50% of the deposit is forfeit at that point and is not recoverable under any later circumstance.

The balance of the total tour cost is due according to the payment schedule set out in your booking confirmation. Failure to pay any instalment by its due date may be treated as a cancellation by you, and the cancellation charges in Section 3 will apply. Deposit amounts, instalment dates and the final balance due date are confirmed in writing on your individual tour invoice.

3. Cancellation by you

Should you need to cancel, notice must be given in writing by email to voyumar@gmail.com or by letter from the Group Leader or the paying client. The date of cancellation is the date we receive that written notice. The following scale of charges applies to the total tour cost, always in addition to, and never reducing, the non-refundable service charge already outlined in Section 2.

  • Before the minimum traveller number has been reached: full refund of all monies paid, less the non-refundable service charge.
  • After minimum numbers reached, 90 days or more before departure: deposit only. Fifty percent of the deposit is recoverable, the remaining 50% of the deposit is forfeit. All other monies paid are refunded, less the service charge.
  • 89 to 60 days before departure: 50% of total tour cost, less the service charge already forfeited.
  • 59 to 30 days before departure: 75% of total tour cost, less the service charge already forfeited.
  • 29 days or fewer before departure, or failure to travel or no-show: 100% of total tour cost with no refund.

Where a named traveller withdraws from an otherwise-departing group booking, the same scale applies to that individual's share of the tour cost. Any traveller who withdraws after final payment and does not travel forfeits 100% of monies paid for that place.

Voyumar strongly recommends that all clients take out adequate travel insurance at the time of booking to cover cancellation, medical expenses, and personal belongings. Voyumar is not able to waive cancellation charges on the basis of illness, bereavement, visa refusal, or any other personal circumstance. Such losses should be recovered, where covered, through your insurance policy.

4. Changes to your booking

Requests to change tour dates, transfer a place to another traveller, or amend named travellers must be made in writing. Provided the request is received more than 60 days before departure, Voyumar will apply an administration fee of £35 per person, per change, in addition to any costs charged by hotels, carriers, attractions or other suppliers as a result of the change. Changes requested 59 days or fewer before departure will be treated as a cancellation of the original booking, subject to the scale in Section 3, and, where possible, a new booking.

5. Cancellation, changes or postponement by Voyumar

Voyumar reserves the right to cancel or amend a tour where the minimum traveller number is not reached, or where circumstances beyond our reasonable control make it necessary. In either case, we will offer you the choice of an alternative tour of comparable value, a future travel credit valid for 24 months, or a full refund of monies paid to Voyumar for the cancelled tour.

Force majeure: where a tour is cancelled or disrupted due to a force majeure event, including war, terrorism, civil unrest, natural disaster, pandemic, epidemic, government travel restriction, industrial action, or closure of airports or borders, Voyumar will act reasonably to minimise loss but is not liable for any refund beyond monies we are able to recover from our own suppliers, less any costs already reasonably incurred on your behalf. A future travel credit will be offered wherever possible in place of a cash refund.

6. Traveller conduct and behaviour on tour

Voyumar exists to give students and families a safe, enjoyable and enriching experience, and the good conduct of every traveller is essential to that goal. By travelling with Voyumar, every participant, and for minors their parent or guardian, agrees to abide by the Group Leader's and Tour Director's instructions and by Voyumar's code of conduct at all times.

The following will be treated as serious breaches of these Terms and may result in immediate dismissal from the tour, at the sole discretion of the Tour Director in consultation with the Group Leader: aggressive, threatening, violent or intimidating behaviour directed at Voyumar staff, tour leaders, suppliers, or fellow travellers; disruptive conduct that materially interferes with the safety, comfort or enjoyment of the group, or with hotel, coach, venue or transport operations; possession or consumption of alcohol or illegal drugs by a minor, or any illegal activity; deliberate damage to accommodation, transport or venue property; and any behaviour that, in the Tour Director's reasonable judgement, poses a risk to the health or safety of the traveller or of others.

Where a traveller is dismissed from the tour under this Section, they, or for a minor their parent or guardian, will be responsible for the full cost of their return travel home, and no refund will be given for the missed portion of the tour, any unused services, or the service charge. Voyumar reserves the right to recover from the traveller, parent or guardian the reasonable cost of any damage caused, and to notify the traveller's school or institution of the incident where appropriate.

7. Travel insurance

Comprehensive travel insurance, including cancellation and medical cover, is strongly recommended for every traveller and is a condition of travel on some itineraries. Voyumar can advise on suitable providers but does not underwrite insurance and is not responsible for the scope, terms or outcome of any claim made under a third-party policy.

8. Passports, visas and travel documents

It is the responsibility of the Group Leader, client, parent or guardian to ensure that every traveller holds a valid passport, and any visa or entry documentation required for the itinerary, well in advance of departure. Voyumar is not liable for any cost or loss arising from a traveller's failure to hold the correct travel documents, and no refund will be given where a traveller is unable to travel for this reason.

9. Voyumar's liability

Voyumar will perform its obligations to you with reasonable skill and care. Voyumar is not liable for any loss or damage arising from circumstances beyond our reasonable control, from the acts or omissions of independent suppliers such as airlines, hotels, coach operators or venues, or from a traveller's own act or default. Nothing in these Terms excludes or limits liability for death or personal injury caused by our negligence, or for any liability that cannot lawfully be excluded.

10. Data protection

Voyumar will process personal data provided as part of a booking solely for the purpose of arranging and delivering your tour, and in accordance with applicable UK and EU data protection law. Details will not be shared with third parties other than the suppliers necessary to deliver your itinerary, such as hotels, carriers and venues.

11. Governing law

These Terms are governed by the laws of England and Wales, and both parties submit to the exclusive jurisdiction of the courts of England and Wales, save where a client is resident in Spain, the USA or another jurisdiction where mandatory local consumer protection law provides otherwise.
